Your Hosting Role & Responsibilities

Every night you serve, you’ll be assigned to one of the hosting positions below. Each one plays a huge part in creating a warm, safe, and joy-filled experience for our guests.

Tunnel Entrance Counters

  • Use the handheld clicker to count how many people enter the light show.

  • Keep the line moving, but don’t rush families—this helps us manage flow.

  • Assist in taking photos for groups as they enter.

  • Smile and welcome every group as they pass through.

Candy Cane Hosts (Tunnels)

  • Offer candy canes to kids and families as they walk through the tunnel areas.

  • Keep the table stocked and clean.

  • Make kids feel seen—short, fun interactions go a long way!

Greeters / Area Hosts (Tunnel 2, Main Intersection, Viewing Platform, Snow Zone, Walking Path)

  • Greet guests with cheerful “Merry Christmas!” moments. Ask if they have been to the lights before.

  • Assist in taking photos for groups.

  • Help direct traffic and answer simple questions.

  • Keep an eye out for anyone who may need assistance (strollers, accessibility needs, lost kids, etc.).

  • Help maintain safety in high-traffic areas.

  • No dogs please.

Photo Booth Hosts

  • Man the booth and take photos for families and help them stage the picture.

  • Keep the line organized and moving.

  • Help reset props or fix small details so every family gets a great photo.

  • Keep an upbeat, encouraging atmosphere.

Cookie Table Hosts

  • Hand out free cookies (2 types - chocolate chip and ginger molasses) and restock trays as needed.

  • Wipe surfaces and maintain a clean, welcoming table.

  • Use gloves and napkins (available in the kitchen)

  • Celebrate kids getting cookies—they love it!

Movie Room Hosts

  • Count how many guests enter the movie room.

  • Help families find seating quietly.

  • Keep the room peaceful and cozy for those watching.

  • Reset chairs and tidy between showings if needed.

Cultures Coffee House Host

  • Support the Cultures team with simple tasks (restocking lids, helping with line flow, etc.).

  • Greet guests in the café area and guide them if they have questions.

Prayer Tent Team

  • Answer questions about Evergreen Church.

  • Pray with guests as requested.

  • Maintain a peaceful, warm environment.

Parking & Safety Team

  • Direct cars safely to open spots.

  • Be alert and visible—safety is huge.

  • Offer a quick “Merry Christmas!” as cars arrive or leave.

What Success Looks Like for Every Role

  • A warm greeting for each family

  • Clear direction when people are unsure where to go

  • A safe environment with eyes open for needs

  • Short, joyful interactions that help people feel the love of Christ

  • Teamwork with other volunteers so the whole night runs smoothly

Additional Notes

  • Training happens every night! No one is expected to know all roles—your Lead will walk you through what to do.

  • Breaks will be given as needed, especially for outdoor roles.

  • If you're unsure about anything, just ask. Your Leads love helping volunteers.

  • We aim for consistency and flexibility. You may be in different roles on different nights depending on the needs.
